Nature of Work
This is specialized clerical work in the maintenance of financial records. Work involves, and is distinguished from the work of other clerical classes by, the application of basic bookkeeping principles and practices without immediate supervision, but within the limits of an established accounting system, to a limited range of financial records. Requires the ability to operate calculators, keyboards and other office machines as well as the ability to make complex and varied arithmetic computations and tabulations rapidly and accurately and to understand and carry out complex oral and written instructions. Supervision is received from technical supervisors who review technical tasks closely, but allow some independence in the performance of the more routine tasks.edit
The duties of this position include but are not limited to the following: Receiving, recording and depositing cash receipts; preparing daily tabulations and reports of cash receipts; distributing receipts to proper funds; balancing reports and tabulations; making daily entries in cash receipts ledger; preparing checks for deposit; examining time and material records, checks, vouchers, invoices, purchase orders, personnel actions, long distance telephone bills and other documents for conformity with laws and regulations, correct unit prices, account codes, proper discounts and accuracy of extensions and computations; adjusting personnel spreads in accordance with incumbent status changes; classifying receipts and disbursements in accordance with established codes, referring questionable allocations to superiors; maintaining billing and posting of charges and credits to accounts; preparing summary sheets and balancing records of charges and payments; keeping and controlling subsidiary accounts; posting purchase orders to appropriation ledger; analyzing accounts to determine if allocations have been exceeded, posting disbursements and corrections in appropriation ledger, liquidating purchase orders previously encumbered; coding and numbering vouchers; entering checks in voucher register and preparing and balancing recapitulation sheets; performing data entry to establish, close or change accounts for proper billing and collectionMinimum Requirements
Graduation from high school or its equivalent and considerable (2 – 4 years) experience in bookkeeping and related clerical work.
OR
Equivalent combination of training and experience beyond high school.
