Note: This position will be in the voter registration or elections division of the Recorder's Office. The position requires flexibility as election schedules and workloads will vary. The position's number of work hours per week may vary from 20-40 hours per week or more. During peak election periods there will be mandatory overtime on evenings, weekends, and holidays. Temporary positions are not eligible for benefits.

Note: This position is open until filled with the first review of applications on May 2, 2018. 

Under supervision performs general office or secretarial work of moderate difficulty; performs related work as assigned.

Typical Duties

  • Receives, sorts, files and retrieves forms, correspondence and documents
  • Updates, checks and completes records, forms and documents
  • Verifies discrepancies and makes corrections
  • Processes documents to update and maintain files and records
  • Researches records and disburses information
  • Processes & distributes confidential and sensitive documents
  • Operates and maintains a variety of office equipment
  • May perform data entry
  • May prepare and pack precinct materials for over 70 precincts
  • May test and maintain voting machines for use at polling locations.
  • May make minor repairs on election equipment.
  • May load election materials for delivery to polling locations as well as unloads materials post-election.
  • May assist poll workers on Election Day with technical operation of voting equipment and /or election supplies.
  • May answer incoming phone calls

Essential functions of this position include: sitting, walking, standing, crouching, stooping, kneeling, reaching, bending for filing; working with and around others; dealing with interruptions; repetitive motion (hand/wrist/elbow/ shoulder) for computer work, filing, copying etc.; vision acuity (near) for computer work and reading documents; hearing and speech for ordinary conversation; finger dexterity and touch for typing.

Minimum Qualifications

Experience in clerical work; OR, any equivalent combination of education, training and experience which demonstrates the ability to perform the duties of the position. Must be a registered voter in Coconino County. Must have a valid AZ Driver's license and be able to successfully pass a criminal background check.

Preferred qualifications include experience working an election in an administrative capacity (not just being a poll worker on Election Day), customer service and data entry/clerical experience and demonstrated accuracy and attention to detail.

This position is non-exempt from overtime.

- Word processing, spreadsheets, other computer applications and modern office equipment
- Rules and procedures of assigned department, including state and federal law

- Prepare and maintain complex records and reports
- Work safely and support the culture of workplace safety
- Establish and maintain effective working relationships with employees, other agencies and the public
- Follow written and verbal instructions
- Communicate effectively verbally and in writing
