Job Summary
- NATURE OF WORK
Under general direction, performs specialized administrative work of moderate difficulty and highly responsible duties supporting the Planning and Zoning Commissions and Board of Adjustments; this position has department-specific responsibility. Example of Work
- (Illustrative Only) Coordinates Planning & Zoning Commission and Board of Adjustment meetings, assures all functions are performed in accordance with applicable State and Federal laws, County ordinances and policies and procedures; records and transcribes minutes for the Planning and Zoning Commission and Board of Adjustment Hearings; manages the recording, distribution and maintenance of the records related to the official action of the Planning and Zoning Commission and Board of Adjustment; posts public meeting notices and agendas; prepares and distributes meeting agenda and information packets for Planning & Zoning Commission and Board of Adjustment meetings; assures Radius Notification Letters to property owners are mailed out according to State Statutes; serves as a point of contact and liaison for departmental division offices and individuals on a range of specified issues; prepares reports and analyzes departmental financial or project data and makes recommendations; trains, supervises and evaluates administrative personnel; provides administrative assistance to the Planning and Zoning Division; ensures compliance with department directives; manages the collection, analysis and reporting of projects and operational reports; regular and reliable attendance is required; performs other duties as assigned.
Experience and Education
- Associate's Degree in Accounting, Business Administration, or closely related field; and two (2) years of increasingly responsible work experience in the area of office administration OR an equivalent combination of education and experience, preferably in a government entity; OR an equivalent combination of education and experience.
**NOTE: Yuma County reserves the right to underfill the Planning & Zoning Commission Administration Specialist (Grade 233) as a Office Specialist III (Grade 188 Min: $15.41/hr. - Mid: $19.25/hr.) until such time as the successful candidate completes all education and training requirements.**
This position is advertised from the minimum to the mid-point hourly rate. Salary will be determined based on education and experience at the time of offer. Knowledge, Skills and Abilities
- Knowledge of: Yuma County organization, operations, policies, and procedures; micrographics and imaging technology methods and procedures; business English spelling, arithmetic, punctuation and grammar; filing systems; Arizona Open Meeting Law and statutory notice requirements; State and County Planning and Zoning Commission laws and regulations; statutory requirements for records retention, maintenance, and the recording of actions taken; principles and practices of management, training, and supervision; project management; developing policies and procedures; computer operations especially in word processing, databases, and the Internet.
Skill in: Analyzing and evaluating administrative needs, identifying problems, and developing feasible solutions; preparing reports; operating various types of office equipment; creating filing systems; conducting extensive research using computerized databases and the Internet; providing effective customer service; training staff in specific areas of need; writing instruction manuals.
Ability to: Plan, organize, supervise, train and evaluate the work of subordinates; establish and maintain effective working relationships with co-workers, outside agencies, and the public; work independently in completing assigned tasks accurately; communicate effectively verbally and in writing; follow written and verbal instructions; take abbreviated notes and transcribing documents; respond effectively with public inquiries and public records requests; plan, prioritize, manage, and respond to multiple assignments in a fast-paced environment.
