Pay Grade: Specialist 6

This position serves as the NC Community College Systems Data Coordinator for the College ensuring that the College meets the reporting deadlines. This position  will support lead personnel in the technical and administrative tasks associated with the college's office of Institutional Effectiveness, Accreditation and Research.

Responsibilities and Duties (*Essential Functions)

*Serves as the NCCCS Data Coordinator for the college, which includes maintaining an active spreadsheet of all system office, UNC-GA and Federal reports for which the college is responsible; ensuring that routine contact is made with those responsible for reporting; and following up to ensure that all reports are submitted to each respective agency in a timely manner

*Creates and administers survey requests for the college, which includes procuring survey materials, selecting samples, scanning surveys, and distributing results (using survey tools such as Survey Monkey)
 
*Updates  publications, including: NCCCS Performance Measures Report catalog page, Quick Facts, Fact Book, etc., and ensures that all updates are reflected on the Institutional Effectiveness/College website      

*Provides administrative support for the preparation of all SACS accountability and accreditation reporting and for regional accreditation onsite visits, as well as program level accreditation onsite visits, when required

*Assists with preparing and maintaining annual institutional effectiveness plans and goals for the college

Assists Wake Tech personnel with survey, and research requests and understanding SACSCOC Principles of Accreditation and Substantive Change Policies

Collaborates on research requests and data collection as needed

Coordinates communication with team members concerning projects and deadlines

Monitors and reports on project progress; coordinates with cross discipline team members to make sure that all parties are on track with project requirements, deadlines, and schedules

Creates and edits memos, reports, presentations, correspondence or other documents on a regular basis; handles travel authorization and travel expense reports for the department

Attends various meetings and takes minutes, transcribes, and distributes those minutes/reports as required

Performs other office duties including answering phone, distributing mail, filing, records management, calendar set-up, purchases equipment and supplies, scheduling and coordination of meetings

Promotes continuous improvement by completing an annual applied benchmark project on an individual or a group basis
 

Qualifications

Knowledge, Skills & Abilities:

Advanced Microsoft Office and research skills, including the ability to create tables, charts, graphs in Microsoft Excel

Strong keyboarding skills with ability to take dictation or type minutes on computer during meetings

Excellent written and oral communication skills

Strong time management skills with demonstrated ability to multi-task and set priorities within tight time-lines

Excellent organizational skills

Demonstrated ability to use databases and statistical software

Minimum Requirements:
 
Associate's degree in office administration or related field

Two years of technical administrative experience

Preferences:

Bachelor's degree

Five years of technical administrative experience

Experience with Ellucian (Colleague)

Knowledge of Adobe Acrobat Professional and survey/questionnaire software
