SUMMARY DESCRIPTION:
Under the direction of the Workforce Development Institute's Director of Adult Basic Education and Life Long learning, the Assistant is primarily responsible for providing overall office and administrative support to the Educational Services Division of the Workforce Development Institute by maintaining a system of office procedures designed to promote efficient operation of the Burlington County Consortium and assist with State required data entry, marketing, registration of scheduling, class logistics, reporting and event staffing.
OVERALL PURPOSE & RESPONSIBILITY:
The primary and most important overall responsibility of all employees is to provide service in a pleasant, helpful, and effective manner to our students and other members of the College community.
INSTITUTIONAL EFFECTIVENESS
Accepts responsibility for the timely preparation of student outcomes assessment efforts of the faculty in planning, collecting data, and reporting dates as they relate to course outcomes, program outcomes, general education outcomes, and developmental program outcomes. Actively participates in setting annual division goals and objectives, completing State mandated and OIR reporting forms, collecting data, analyzing data, and preparing a report using guidelines established by OIR.
Specific Duties and Responsibilities
- Scheduling and coordinating meetings, interviews, events and other similar activities
- Managing inventory of assets and supplies, sourcing for suppliers (vendors) and submitting invoices
- Coordinating between departments and operating units in resolving day-to-day administrative and operational problems
- Serve as the main resource for the consortium partners to ensure the Title II grant requirements are being fulfilled.
- Assist the Director with all paperwork in support of the Title II Grant
- Coordinate the work activities of student workers
- Assist the ABE counselor and students with the process of enrolling in post-secondary education and/or job training when necessary
- Provide timely and courteous customer service for both internal and external customers
- Maintain appropriate files in support of the department's programs
- Assist with developing and distributing marketing materials
- Maintain a variety of division records and create and distribute routine and special communications as required
- Attend community events as a representative of the college
- Perform other related duties as assigned
Minimum Qualifications
EDUCATION REQUIRED :
High School Diploma or equivalent required
Associates Degree Preferred
EXPERIENCE REQUIRED:
Minimum two (2) years of professional experience providing administrative support to ensure operation of an office, department or program.

- Technologically proficient in Microsoft Windows, Microsoft Office Suite (specifically: Word; Excel; and PowerPoint) and other database management software
- Highly motivated, results-driven, innovative, and open to new ideas and/or projects
- Self-starter who can work independently, as well as part of a team, with minimal supervision
- Ability to prioritize projects and tasks
- Ability to work a flexible work schedule including evenings and weekends
- Possess a valid driver's license
