Job Summary

Performs advanced journey level secretarial support, public relations, and office management work for an elected official involving public contact, research, report writing, phone work, typing/word processing, taking dictation, transcribing, and scheduling. This position requires a high level of skills in dealing with the public and responding to inquiries or complaints. Incumbents at this level are required to be fully trained in secretarial support, public relations, office management and all related procedures.

May provide technical, functional and/or direct supervision of assigned subordinates, temporaries, and volunteers as required.

Essential Job Functions

  • Handles a wide variety of contact with high level government officials and the public, resolving problems and complaints and taking appropriate action.
  • Researches issues by contacting the relevant parties or agencies involved, relaying information and following up to see that responses are received. Checks files for related information, similar circumstances, and past practices or decisions.
  • Researches, collects factual data, evaluates, analyzes, makes recommendations, and assists in the implementation and administration of District activities; monitors and assists in the preparation of the District budget; provides cost estimates and budget requests; prepares narrative and statistical reports and a wide variety of other support data; purchases and inventories supplies and equipment.
  • Researches issues by contacting the relevant parties or agencies involved, relaying information and following up to see that responses are received. Checks files for related information, similar circumstances, and past practices or decisions.
  • Makes appointments, schedules meetings and informs participants as to agenda, time and pertinent subject matter. Prepares and provides participants with informational materials.
  • May draft news releases and deal with news media personnel.
  • Processes requisitions, invoices, budget estimates, inventories, contracts, and other documents.
  • Devises, revises or maintains complex sets of records, files and bibliographic materials.
  • Reviews and prioritizes incoming correspondence attaching appropriate files or materials to correspondence for response.
  • Composes correspondence, reports or material for official signature.
  • Utilizes word processing equipment, computer terminals and other related computer and office equipment to perform a variety of tasks.
  • Assists in annual budget preparation and monthly tracking of expenditures.
  • Acts as a receptionist, interviewing and screening visitors and providing information when appropriate.
  • Maintain a high level of confidentiality of information.
  • Communicates and acts in a professional manner with the public, co-workers, and work contacts.
 SECONDARY JOB FUNCTIONS

  • Performs related work as required.

Minimum Qualifications

  • High School diploma/GED
  • Three (3) years progressively responsible experience in secretarial, public relations, and office management work of a discretionary and confidential nature preferably in a function related to county or municipal government.
  • An equivalent combination of education, experience, and training may be considered in meeting the minimum qualifications.
 
 SPECIAL JOB REQUIREMENT
 
  • Must possess a valid State of Arizona Driver's License at the start of employment and maintain said license while employed in this position.
  • Provide acceptable driving history at no cost to the County.

EMPLOYEE BENEFITS
 
Medical

Mohave County provides two options for Self Insured Medical Plan, paid by Employee & Employer, to regular employees (employees who work at least 32 hours per week). The Self Insured Medical Plans utilize the Blue Cross Blue Shield of Arizona network for in- Arizona coverage, plus the Aetna Choice POS II network for out-of-Arizona state . The medical plans include pharmacy benefits.
 
  • Plan 1: Exclusive Provider Organization (EPO) Plan Deductible $1,000 per person deductible. Calendar Year Out of Pocket Maximum per Single Coverage is $6,300 and $12,700 for Family Coverage.
 
  • Plan 2: High Deductible Health Plan (HDHP) $3,000 maximum Out of Pocket for Single Coverage and $6000 maximum Out of Pocket maximum for Family

Out of Pocket Maximum includes medical Deductible, medical Copays, Prescription Drug Deductible and Copays.

Teladoc is a healthcare option available 24 hours per day, 7 days per week, and 365 days per year for non-emergent medical conditions.

Flexible Spending Accounts (FSA)
This voluntary benefit is available to all regular employees working at least 32 hours per week. This pre-tax option will reduce taxable income.
  • Health care reimbursement account: up to $2,500 per year
  • Dependent daycare reimbursement account: up to $5,000 per year
 Health Savings Account (HSA)
This voluntary benefit is available to all qualified employees who are on the High Deductible Health Plan. This pre-tax option will reduce taxable income. You may elect to contribute up to the full 2017 annual limit:

Vision insurance is available to regular employees working at least 32 hours per week through EyeMed Vision Care. EyeMed offers access to a broad network of independent providers as well as access to out-of-network providers.

Short Term Disability
Coverage is through The Standard
Short-Term Disability (STD) is insurance that replaces some of your income if an injury or illness prevents you from working. Provided by Mohave County.
 
Employee Assistance Program
Coverage is through The Holman Group to all Mohave County employees.
