Job Description

This class is provides administrative support to the Training Unit. This class is responsible for monitoring training records for sworn and civilian law enforcement personnel and scheduling/coordinating training opportunities. This class may be responsible for supervision of staff. This class acts as liaison to state agencies and vendors. Work is performed under minimal administrative direction and supervision according to established guidelines.

Position Duties

The tasks below are those that represent the majority of the time spent working in this class. Management may assign additional tasks related to the type of work of the class as necessary.

• Interacts with and provides direction to personnel and public via telephone, email and in person.
• Maintains training schedules and various calendars; schedules facilities for various functions.
• Maintains data on Taser users and instructors, CPR certification, CPR instructors, FDLE General and High Liability Instructors. Completes appropriate certificates.
• Enters and maintains all training records in training database and files support support material, rosters, training curriculum, etc. Provides necessary certificates.
• Creates training announcement flyers and disseminates training course information department wide via email or intranet portal posting; updates training intranet portal as required.
• Provides administrative support for area of responsibility updating databases and files, processing paperwork and forwarding it to the appropriate office.
• Completes FDLE reports, salary incentive, mandatory retraining, firearm qualifications and use of force.
• Provides training records to supervisors and personnel for evaluation purposes.
• Performs annual reviews and verification of FDLE salary incentive reports.
• Schedules personnel for both in-house and college courses with the appropriate training vendors.
• Schedules personnel for outside training, completing necessary reservations for lodging, flights etc.
• Acts as facilitator in preparing, coordinating, and/or presenting civilian classes.
• Facilitates training through outside vendors and subject matter experts.
• Monitors inventory of necessary supplies and order as necessary.
• Completes requisitions for purchases; reconciles purchase card statements for the unit.
• Monitors the unit budget; notifies staff of budget limits.
• Organizes and maintains paperwork, scheduling and registration for Citizen's Defense Firearms.
• Assists with coordinating training needs identified at the Precinct level.
• Regular, dependable and punctual attendance is an essential function of this job.

Minimum Qualifications

Vocational/Educational Preparation:
High School diploma and four (4) years of experience in training, recruiting, human resources or closely related field.
Or
Associates Degree and two (2) years of experience in training, recruiting, human resources or closely related field.

Special certifications and licenses:
Requires FDLE CJIS Basic Certification (must be obtained within six (6) months of appointment and maintained for duration of employment)

Must complete the Florida Department of State records management training course within six (6) months of employment.

Additional Information

Work is performed in an office environment; Employees may have inmate contact.

Work is conducted during normal business hours (Mon. through Fri. 8am – 5pm); fluctuations to hours, if any, are minimal.
