Essential Functions

Abides by and enforces all compliance requirements and policies and performs these responsibilities in an ethical manner consistent with the organization's values; adheres to hospital policies including confidentiality; assists with orientation and training of new employees as assigned; utilizes proper body mechanics when moving equipment/supplies that is necessary to perform essential functions; maintains a clean work environment; utilizes and accesses both the Hospital Information System (Cerner), EDM, Soarian Clinicals, Vincari, and Command Health; corrects or assists in the correction of RTIF errors generated across the Enterprise Access Directory (EAD) on a daily basis; merges duplicate enrollees in EAD; reviews all legal name changes made across the enterprise and adds alias names as necessary; maintains adequate inventory of supplies for area; maintains alias name files in EAD and enters all alias names for Signature patients; reviews all merge transactions made in EAD; resolves or assists in resolving discrepancies for key patient and guarantor identification data that resides in EAD, such as Social Security number, name spellings, alias names, birth dates, sex, race, mother's name, and maiden name; prepares weekly QA reports for admitting managers concerning registration errors to include hospitals and Health Services; provides in-service training to registrars concerning registration errors that affect EAD data; reports changes in RTIF error patterns to Information Services for review; provides written communication to the Lab, Radiology, Business Office, Medical Records, Information Services, Admitting, Operating Room, and other ancillary departments concerning medical record number errors; assists Patient Access Clerks and callers from other departments who have registration questions or concerns which relate to EAD; works EAD potential duplicates report on an ongoing basis and other special reports which identify duplicates; verifies posting of correct identifiers in EAD on all registrations with an RTIF error; corrects problems which prevent results from posting to the Lifetime Clinical Record, such as missing events and identifiers; notifies HSF staff of all duplicate patient numbers by e-mail; corrects HSF duplicate medical record numbers in EAD, at their request, on a daily basis; researches and notifies HSF staff of all incorrect name changes made by HSF registrars and corrects per their instructions; deletes enrollees, events and identifiers from EAD as necessary; adds enrollees, events and identifiers to EAD as necessary; contacts patients/family via telephone concerning Social Security numbers, dates of birth, and other critical identifier discrepancies; answers e-mails from departments in a timely manner; performs other QA reviews on EAD data as required; monitors the correct posting of death information in EAD; monitors the addition of legal names for all babies born in USA Hospitals; communicates and uses appropriate customer relation skills with physicians, patients, families and healthcare team in person and via telephone; responds to overhead pages; informs/relays information to incoming shifts regarding any unfinished requests/duties; maintains accurate and complete records of work performed; verifies that information sent via fax machine was done so without error by reviewing the fax log; prepares special reports as assigned; cooperates, helps others and improves the performance of the unit; completes all mandatory unit, educational and hospital requirements; utilizes cost effective practices in performing all aspects of the job; adheres to current Infection Control and Safety Standards; participates on committees as assigned; participates in Performance Improvement activities through quality measurement of participation of ICARE process as assigned; accesses and accurately maintains electronic and paper medical records; regular and prompt attendance; ability to work schedule as defined and overtime as required; related duties as required.

Minimum Requirements

High school diploma or equivalent and four years clerical medical records experience in a hospital and/or medical business office. User experience with a large scale hospital system highly preferred.

Working Days and Hours

Monday - Friday with rotating weekends
8:00 a.m. - 4:30 p.m. / 9:00 a.m. - 5:30 p.m. / Rotating
