DEFINITION

Under direction of a supervisor, this position is responsible for performing the role of Passport Acceptance Agent to accept (or execute) the passport application and to ensure all materials needed to process the applications are correctly submitted and enclosed as required by the U.S. Department of State.

This part-time, seasonal position works with the Community Services Department in the City providing services as a passports acceptance agent at the Community Services facility.  This position provides valuable customer service and support for the public in obtaining official travel documentation.

The Passport Services office is operated from 10:00 a.m. through 4:30 p.m. Monday through Friday, and is closed alternating Fridays.

EXAMPLES OF DUTIES, RESPONSIBILITIES AND EXPECTATIONS

Passport Acceptance Agents provide customer service for processing travel documents for the U.S. Department of State, including, but not limited to:
  • Greets the public in person and over the phone.
  • Provides information regarding the passport application process and traveling requirements.
  • Reviews applications and other applicable documents for completeness, signature, affirmation of truthfulness, verification of applicant's identity, and presence of required photographs and fees.
  • Submits an observation checklist with applications that require further scrutiny by the U.S. Department of State.
  • Stays current with and implements all changes in passport regulations and procedures.
  • Attends training courses to maintain eligible status as a passport acceptance agent.
  • Processes passport transmittals, mails documents and tracks shipments of passport applications to government agencies.
  • Orders and maintains all supplies necessary to process passport applications and provide public information.
  • Reviews and accurately processes payments for passport services, issues receipts, and performs daily reconciliation of passport transactions.
  • Performs other related duties as assigned.

MINIMUM QUALIFICATIONS

Qualified applicants should possess the following knowledge, skills and/or abilities.

  • A minimum of 1 year of paid customer service experience, or any combination of training and experience providing the necessary skills, is required
  • Ability to operate or train on a variety of computer software applications, including Microsoft Word, Internet, and Tyler Cashiering
  • Ability to work cooperatively with diverse cultures and language barriers
  • Ability to examine documentation for authenticity and acceptability and read/understand documents that contain very small print
  • Ability to maintain confidentiality and security of information
  • Ability to work independently and to prioritize work
  • Ability to follow established office procedures
  • Ability to communicate information effectively in English, both verbally and in writing

SUPPLEMENTAL INFORMATION

SELECTION PROCESS:
The selection process may include but is not limited to: application review and evaluation, written examination, performance test and interview. All employment offers made by the City are contingent upon establishing proof of a prospective candidate's legal authorization to work in the United States and successfully passing all components of the pre-employment process, such as: reference check, background investigation, fingerprint criminal history check, post-offer drug test, post-offer psychological and post-offer medical examination, the cost of which will be borne by the City.
