Basic Functions

Responsible for ensuring personnel/payroll data is entered into the Human Resources Information System completely, accurately and in accordance with appropriate guidelines.  Maintains personnel files for all active and terminated employees, including the facility and payroll files for terminated employees.  Assists with resolving various issues and responds accurately and promptly.  Discretionary handling of confidential information is a critical aspect of this job.  Performs duties in a safe, efficient manner and in compliance with all applicable rules and safety procedures.
 

Responsibilities and Specific Duties

  • Verifies and processes employee information in accordance with established procedures,
  • Process employee changes into the Human Resources Information System including but not limited to system dates, i.e., date of hire, termination, leave, return, pension, seniority, review and progression, name, address, social security number, driver's license number, emergency information, classification, salary/wage rate, federal income tax deductions, etc.
  • Process employee deductions, i.e., professional dues, credit union, direct deposit, garnishments and lost Q-card charges and authorizations forms and the Health Welfare & Trust union employee health deductions.
  • Determines eligibility for union progressions and ensures dates and wages are in compliance with the Labor Agreement.
     
  • Audits and verifies daily entries and researches issues relating to employee's benefits, insurance, payroll, labor relations, etc.
 
  • Researches information regarding department/division codes, job positions or service date discrepancies and/or salary/wage rate discrepancies.
 
  • Assists end users and troubleshoots (ECF) issues and forms, add and update users to user groups and hierarchy in SharePoint.
 
  • Maintains I-9 documentation in compliance with federal regulations.
     
  • Responds to telephone/written verifications regarding employment status of active and former employees.
     
  • Responsible for requests received for archived files and subpoenas.Compiles necessary employee documents and prepares copies in response to subpoenas, Texas Open Records requests, grievance arbitration, EEO issues, Texas Workforce Commission issues, legal hearings, or various internal divisions, i.e., Risk Management, Legal and/or external governmental/legal agencies
     
  • Tests system changes, issues, and new implementation of HRIS system upgrades.
     
  • Performs administrative tasks, reviews mail, composes and types correspondence, etc.
 
  • Promotes safety awareness and follows safety procedures in an effort to reduce or eliminate accidents.
 
  • Performs other duties as assigned.

 
 

Minimum Qualifications/ Requirements

High school diploma or equivalent.

Minimum five (5) years' experience in data/payroll processing for salaried and hourly personnel to a computerized human resources personnel/payroll information system.  SAP HCM experience preferred.

Working knowledge of human resource information system, personal computers and related software; Microsoft Word and Excel.  Requires attention to detail and organizational skills.  Good written and verbal communication skills.  General knowledge of labor agreements and progression pay.  Accurate typing/data entry skills.
