Job Description

Purpose of Position:
What does the job do?
The Inspection of Public Records Act (IPRA) Program Coordinator produce accurate documents on a timely basis to fulfill IPRA This position will interact with various division staff to produce requested data for the agency's response to an IPRA request, ensuring compliance with the Act while adhering to agency policies and procedures, as well as state and federal laws.

How does the job get done?
The IPRA coordinator is responsible for accepting all IPRA requests from the public and reaching out to different agencies through out the department. This position is responsible for logging all requests within twenty-four hours of delivery during business days. They are responsible for sending three day letters to requestors. The coordinator will conduct a thorough search for each request by contacting agency staff members requesting the production of any data requested and searching all available databases (CJIS, eCrash, TraCS, and CAD). This position is responsible for fulfilling all requests within 15 days of receiving the request. They will be responsible for redacting documents to adhere to IPRA guidelines; federal, state, and department. After request is fulfilled an invoice will be prepared and sent to the requestor stating their documents are ready to be viewed.

Minimum Qualifications

High School Diploma or Equivalency and two (2) years of experience in office administration, budgeting, purchasing, finance, accounting, auditing, cash management and/or contract management.
 
Employment Requirements:
Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification as a condition of continued employment. Pre-employment background investigation is required and is conditional pending results.

Working Conditions:
Office setting, exposure to Visual/Video Display terminal and extensive personal computer and telephone usage with extended periods of sitting. Must be able to lift and carry 30 lbs. Subject to a national fingerprint-based record checks. Continued employment is contingent upon remaining felony-free, per section 5.12.1.1 of the Criminal Justice Information Systems Security Policy.
