Function

Assists division in administrative tasks related to festival and event planning, organizing and marketing. Performs a variety of administrative duties and assists in all production aspects of event coordination and marketing.

Examples of Work

• Arranges logistical support for special events such as entertainment and vendor arrangements, arranging for equipment, security, permitting and volunteers.

• Manages records, processes applications, and maintains statistical data relative to special events and designs and conducts evaluations. Ensures that accurate records are maintained to include budget tracking, expenditures, contracts, sponsorships, and attendance.

• Collects, coordinates, duplicates and distributes images to publications and stakeholders as necessary. Researches and generates articles and event calendars for electronic and print publications. Prepares copy for website updates. Conducts research as necessary to complete tasks.

• Coordinates the production and distribution of related brochures and information. Coordinates and implements the insertion of information in various event calendars and other publications.

• Responds to public festival and event inquiries in a courteous and timely manner.

•Demonstrates regular and punctual attendance.

• Performs other related work as assigned.

Qualifications

Graduation from high school or successful completion of the GED is required. An Associate's degree or two (2) years of college-level courses in Recreation, Leisure Services, Marketing, or a related field is preferred. Minimum of one (1) year of experience in the technical production aspects of and marketing for festivals and special events. Extensive experience and proficiency in the use of personal computers and a variety of desktop publication software programs, word-processing programs, and database management software is required. Graphics design training and experience is preferred. Ability to follow complex oral and written directions and work effectively under pressure; communicate effectively both orally and in writing; establish and maintain harmonious working relationships. Must possess a valid motor vehicle operator's license and must have and maintain a satisfactory driver's record based on the City of Hampton's criteria. Must successfully pass a background check related to this position. A combination of education and experience may be considered for this position.

Features

Performs duties under the general supervision of the Special Events Coordinator. Requires a high degree of responsibility, initiative, and confidentiality. Ability to work independently. Extensive contact with government officials, employees, volunteers, sponsors, and the general public. May require some local travel. May be required to work non-standard hours to include some evening and weekend hours. This is a non-exempt position with an estimated 25 hours per week.
